Setting up and packing away

Set Up Day – Wednesday 17th October 2018:

All vehicles are to report to Dragon Road Holding Area (for both build-up and breakdown) prior to their arrival at the HCC. Traffic stewards will coordinate with the stewards on site at the exhibition hall and access to the Service Road will be given when space allows.

Once a vehicle is given permission to come to the Service Road you will be given a pass by the stewards to show on arrival at the Venue Service Road. You will not be allowed entry without this pass. Once arriving at Studio 1 (exhibition hall) please un-load your vehicle and then return it to either Dragon Road Holding Area or off-site. This is to allow as many vehicles as possible easy access to unload.

For Breakdown we ask the vehicles only to be brought onto the Service Road once they are ready to load.

Vehicles can be left at Dragon Road Holding Area for the duration of the Conference free of charge, a parking permit will be supplied by the Traffic Steward, please display this in your vehicle.

  • 10:00: Access for space-only stand suppliers (not using the shell scheme package)
  • 14:00: Access for exhibitors and suppliers within the shell scheme stand construction
  • 18:00 to 20:00: All stand installation completed

Important Information:

All personnel are required to wear high visibility clothing and appropriate footwear during event build up and breakdown periods and also must be worn on the Venue Service Road.

It is the responsibility of all Contractors and Exhibitors to take away any waste with them during build-up and breakdown including literature. Waste during the open days i.e. paper bin size can be left for the Venue Housekeeping Team to remove.


The Exhibition – Thursday 18th & Friday 19th October:

  • Access to the venue from 8am


De-Rig – Friday 19th October 2018:

  • Access to the venue from 8am
  • From 17:30 for all exhibitors


Deliveries and Collections

Deliveries can be made from the morning of Wednesday 17th October, however the HCC are aware that sometimes couriers deliver before due date and accept no responsibility for any loss or damage.  Any early deliveries will be taken by the Security Office and held in the “Hall Q Holding Area” (the first area after the Security Hut on the Service Road), it is the responsibility of the exhibiter to move their goods to Studio 1.

Again for any collections after the 19th October the same applies and they should be taken to the Security Office by the Exhibitor.

Stand Staff Refreshments:

Please find below details of the refreshments available to exhibition stand staff throughout the two days:

  • Thursday 18th October: Rolling afternoon refreshments from 1.30pm (tea/coffee/cakes)
  • Friday 19th October: Morning refreshments from 8.30am (tea/coffee/pastries)
  • Lunch open for exhibitors 11.30am – 12 noon

Can be collected from the registration desk in Entrance 1 of the HCC from the morning of Thursday 18th October
